Industry Media Relations Onsite Guidelines
ASA understands the ASA Annual Meeting is often an opportunity for industry to communicate with key customers and that one of those customers is the media. As such, ASA requires industry representatives familiarize themselves with the following guidelines and respect them accordingly.
- Companies whether exhibiting or not, may not request journalist credentials for any of their staff.
- Journalists working for exhibiting or non-exhibiting companies may not register as media.
- Any individual with a press badge who markets, sells or represents a company for the purpose of obtaining advertising or subscriptions from any registrant or exhibitor or who violates any stipulation for credentialing will immediately forfeit media credentials for this and subsequent ASA meetings.
- Only press materials generated by ASA will be allowed in the press room.
- Promotional materials or non-ASA generated materials created by entities exhibiting at the conference will be allowed to display press releases and other materials designed to communicate with the media as space allows on a table outside the press room.
- These materials must first be reviewed by ASA. Please submit them to ASA by September 30, 2010 for review and approval to be allowed on the industry table. Materials can be e-mailed to communications@asahq.org and you will receive a response within 7-10 business days.
- All information presented at the Annual Meeting is embargoed until the date and time of presentation. Information from all presentations, including lay language summaries is embargoed until point of presentation.
- No industry employees or industry sponsored freelancers are allowed in the press room at any time and these personnel are not allowed to conduct interviews in the press room.
- Industry related interviews are allowed outside the press room provided they are one-on-one. There are no non-ASA press conferences allowed at the convention center or headquarter hotel, San Diego Marriot Hotel and Marina.
- If approved, non-ASA press materials may also be passed out from the exhibitor’s booth.
- ASA will hold industry representatives accountable for misrepresentation.
No photography or recording is allowed by industry personnel while in session or on the exhibit floor.
