INFORMATION FOR EXHIBITORSExhibit Schedule | Booth Prices | Web Site Listing | Calendar The 2007 Technical Exhibit Program in San Francisco drew 300 exhibiting companies. Reported registration at the 2007 Annual Meeting was 19,473. Professional attendance was 12,254.
APPROVAL OF COMPANIES ASA’s Annual Meeting Committee approves all exhibiting companies. Technical exhibitors are restricted to companies whose products or services are relevant professionally to the practice of anesthesia and in good taste. Novelty items, such as jewelry and T-shirts, are not approved and may not be sold from the exhibit booth. Companies that wish to be added to ASA’s list of companies approved to exhibit should submit their written request on letterhead to Jill Formeister, Director of Scientific Affairs, American Society of Anesthesiologists, 520 N. Northwest Highway, Park Ridge, IL 60068-2573, faxed to 847-825-1692 or e-mailed to j.formeister@asahq.org. The request must include a description of the company, products or services to be displayed, and company contact information on letterhead. Product brochures may be attached. The submitted material will be sent to the Annual Meeting Committee for their review, which takes approximately two weeks. ASA will advise companies when they are approved and will enclose the prospectus and application if they are available at that time. Approval does not constitute a commitment to exhibit. Approved companies must submit a booth space application with the correct deposit before space is assigned.
Exhibiting companies must staff their booths during all show hours on Sunday, Monday, and Tuesday. Early move-out is not allowed. A reception will be held in the exhibit hall on Sunday, October 19 from 4:30-6 p.m.
Payment must be by check (drawn on a U.S. bank only). VISA and MasterCard are accepted for up to $3,250.00 only, per year. American Express is not accepted.
A direct link to your company’s web site from ASA’s Annual Meeting web site will be posted from June 2, 2008 until May 1, 2009.
BOOTH ASSIGNMENTS The American Society of Anesthesiologists assigns technical exhibit space on a priority points system. This system is designed to recognize a company’s exhibit history with the Society. Strict adherence to this system allows ASA to process each company’s application fairly. Points will be assigned on the following basis: 10 points for each 10’ x 10’ equivalent space in which the applicant has exhibited since 1948. 25 bonus points for every five years of consecutive exhibiting since 1948. Booth space applications must be received no later than May 1, 2008 to take advantage of earned priority points. Booth assignments will be mailed by May 19.
PROHIBITION OF EXHIBITOR-SPONSORED SCIENTIFIC SESSIONS Commercial firms that wish to exhibit at the Annual Meeting will not be permitted to conduct or sponsor educational activities, presentations, or meetings in Orlando from and including Friday, October 17 through Wednesday, October 22, 2008. Only normal sales presentations describing products and their functions are allowed in exhibit booths, hotel sleeping rooms and suites, and at dinners and receptions. To avoid conflicts with the Annual Meeting scientific program, physicians may not make any scheduled, live presentations at Technical Exhibit booths or at exhibitor sponsored functions. PROHIBITION OF SPONSORED SYMPOSIA ASA does not allow sponsored symposia during the Annual Meeting from October 17 through October 22. PROMOTIONAL ITEMS Giveaways are allowed if they are tasteful, available in sufficient quantities to general booth traffic, are not connected to any kind of contest or drawing, and are latex-free. Prizes, contests, lotteries and drawings of any kind are strictly prohibited. This includes drawings after the meeting. Promotional items must not obstruct aisle traffic and must be stored within the booth space or in an approved area through the general contractor.

All companies that exhibit with ASA in 2008 will be listed on ASA’s web site. The information will be posted from June 2, 2008 until May 1, 2009. Information on the 2007 exhibiting companies can be accessed currently at http://exhibits.asahq.org. Visitors to that page can search by company name, location, or product, and can review a complete exhibitor list in alphabetical or booth number order. A line on the application booth form will be included for your company’s web site address. PREREGISTRATION LIST In mid-August, ASA will e-mail information and order forms to exhibitors to request pre-show mailings for preregistrants. Lists will be available after September 4, 2008 through December 1, 2008. The fee for this service will be announced this summer.
